1. Data Collected
When using the Captain Transcribe service, we collect the following data:
- •Email address — upon registration or sign-in via Google
- •First and last name — if provided during Google sign-in
- •Transcription history — metadata (file name, date, duration, language) stored for display in your history
Uploaded audio and video files are processed temporarily for transcription and are not retained after processing.
2. Cookies and Analytics
Captain Transcribe uses Google Analytics to analyze website traffic and improve the service. This service uses cookies to collect anonymous browsing information (pages visited, session duration, device type, etc.).
You can disable cookies through your browser settings or by using a tracker-blocking tool.
3. Use of Data
Your personal data is used exclusively for:
- •Managing your user account
- •Tracking your usage and subscription
- •Displaying your transcription history
- •Improving the service and resolving technical issues
We never sell, rent, or share your personal data with third parties for commercial purposes.
4. Hosting and Data Transfers
Your data is processed and stored through the following services:
- •Hetzner Online GmbH (Germany) — application server hosting
- •Firebase (Google) — authentication and user database
- •OpenAI — transcription processing via the Whisper API. Audio files are sent temporarily and are not retained by OpenAI after processing
Some of these services may involve data transfers outside the European Union, in compliance with standard contractual clauses and GDPR safeguards.
5. Data Retention
Your account data (email, name) is retained as long as your account is active. Transcription history (metadata only) is kept to allow you to access it.
Uploaded audio and video files are automatically deleted after transcription. No file is permanently stored on our servers.
If you delete your account, all your personal data will be erased within 30 days.
6. Your Rights (GDPR)
In accordance with the General Data Protection Regulation (GDPR), you have the following rights:
- •Right of access — obtain a copy of your personal data
- •Right to rectification — correct inaccurate or incomplete data
- •Right to erasure — request deletion of your personal data
- •Right to data portability — receive your data in a structured format
- •Right to object — object to the processing of your data
