Frequently asked questions
Quick answers to the most common questions about Captain Transcribe.
How long does it take to transcribe a video?
+
Most files are transcribed in under a minute. A 10-minute video typically takes 30 to 60 seconds depending on language and audio quality. Long-form podcasts of one hour or more usually finish in two to four minutes.
Do I need to create an account?
+
No. You can transcribe up to 3 minutes of audio or video for free without creating an account, no credit card required. An account is only needed if you want to save your history, transcribe longer files, or unlock more minutes.
How accurate is AI transcription?
+
Captain Transcribe reaches 95% or higher accuracy on clean audio in supported languages. Background noise, heavy accents, and overlapping speakers can lower this. You can edit any transcript directly in the player to fix the rare mistakes.
Which file formats are supported?
+
All common audio and video formats are accepted: MP3, WAV, M4A, AAC, FLAC, OGG, MP4, MOV, AVI, MKV, WEBM. Files are processed automatically, no manual conversion needed. Maximum file size is currently 100 MB — we're upgrading our infrastructure to handle larger files soon.
Can I transcribe in multiple languages?
+
Yes. Captain Transcribe supports 29+ languages including English, French, Spanish, German, Italian, Portuguese, Dutch, Polish, Russian, Arabic, Chinese, Japanese, Korean, and more. Language detection is automatic, but you can also force a specific language for accuracy.
Is my data private?
+
Yes. Files are processed on European servers, never used to train AI models, and never reviewed by humans. Uploaded files are deleted automatically after processing unless you save the transcript to your account history. Captain Transcribe is GDPR-compliant.
What's the difference between SRT, VTT, and TXT?
+
TXT is plain text with no timestamps, ideal for transcripts and notes. SRT is the standard subtitle format for YouTube, Premiere Pro, and most video editors. VTT is the modern WebVTT format used by HTML5 players and TikTok. Captain Transcribe exports all three from a single transcription.
